How we handle your data.
BestHire is a decision-support tool. We read what was said in an interview — not how it was said. No face scoring. No voice scoring. No biometric models. This page tells you exactly what we keep, why, and how long.
Who runs BestHire

The two kinds of data we hold
BestHire holds two distinct sets of data and treats them differently.
Your account data. Your name, email, password (hashed), and the jobs you post. We are the data controller for this.
Your candidates' data. CVs, pre-screen answers, and the audio recording + transcript of each candidate's five-minute AI interview. For this, you are the data controller and BestHire is the processor — we process it on your behalf, only to produce the verdict you posted the job to get.
Transcript-only analysis
The AI interview captures audio so we can transcribe it. The audio is transcribed once, and from that point the ranking, evidence, and verdict are produced from the text only. We do not score face, gaze, expression, tone, prosody, or any other biometric signal. The audio is retained so you can play it back; the transcript is what drives the decision.
What you must tell candidates
You are responsible for letting each candidate know that an AI tool is part of the process before they apply. The hosted apply page already discloses this; if you copy the apply link into a job board or your own site, the same disclosure must be visible at the point of application.
How long we keep things
- Account data — for as long as your account is active. Delete the account and we delete the data within 30 days.
- Job and CV data — for the life of the job. Archive a job and everything under it is purged 90 days later.
- Interview audio + transcripts — 90 days by default. You can delete any candidate manually before that.
- Operational logs — 30 days for diagnostics, then rotated out.
Who else touches the data
A short list of sub-processors, contractually bound to handle data only on our instructions: a US-region cloud host for storage and compute, an LLM provider for CV parsing and interview evaluation, a transcription provider for audio-to-text, and an email provider for transactional mail (password resets, interview links). We do not sell, share, or rent your data or your candidates' data to anyone.
No advertising, no training on your data
We do not use your data or your candidates' data to train our own models or third-party models. We do not run advertising trackers. The only cookies on besthire.io are the ones needed to keep you signed in.
Your rights — and your candidates' rights
You and your candidates can ask us to access, correct, export, or delete personal data we hold. Email contact@besthire.io with the request; we'll act on it inside 30 days. A candidate who applied to a job you posted can write to us directly — we'll route the request to you, since you are the controller of that record, and confirm action with both parties.
Security
Data is encrypted in transit (TLS) and at rest. Access to production data is restricted to engineers who need it for incident response, logged, and reviewed. We will notify you of any incident affecting your data without undue delay, as required by GDPR and applicable state law.
Changes to this page
We'll post the change date at the top of this page and email you if a change materially affects how your data is handled.
